Deposits and Cancellations: What Is Normal in Ontario

A deposit is not a red flag. A deposit with no written refund window is.

Prices & Booking

Why occasion vehicles take a deposit

When you book a stretch limousine for a Saturday in June, that vehicle stops being available to anyone else. The operator has committed an asset and a chauffeur to a date months ahead. The deposit is what makes that commitment real on both sides.

Airport transfers and point-to-point trips usually need no deposit at all, because a sedan turned down for one trip can take another. The rule of thumb: the more specialised the vehicle and the more distant the date, the more likely a deposit.

What a fair policy looks like

  • The deposit amount and the balance due date are on the confirmation, before you pay.
  • Cancellations outside a stated window are refunded in full.
  • Inside the window, the fee is stated as a number or a clear percentage — not “at the company's discretion”.
  • The window is shorter for sedans and longer for party buses, which is logical rather than arbitrary.
  • Date changes are treated more generously than outright cancellations, where the fleet allows.

Terms worth refusing

Non-refundable deposits with no window at all. Cancellation fees that exceed the deposit. Policies that appear only after you have paid. A clause allowing substitution of “a similar vehicle” without defining similar — that is how a Hummer limousine becomes a fifteen-year-old stretch on the morning of a prom.

Ask for the terms in writing before money moves. Any operator worth booking will send them without hesitating.

Travelling to Toronto, or out of it?

Most trips that need a chauffeur also need a flight, a hotel or a car at the other end. BookingWorldwide.net covers all three — useful for wedding guests flying in, corporate teams heading to a conference, and anyone building a trip around the ride we are providing.

Frequently asked

How much deposit is normal for a wedding limo?

A meaningful but not punitive share of the total, taken to hold the date, with the balance due shortly before or on the day. What matters more than the percentage is that the refund window is written down.

Can I move my booking to a different date instead of cancelling?

Usually, if the fleet has that date free. It is almost always the better option for both sides, and most operators will treat a date change more kindly than a cancellation. Ask early rather than at the last minute.

What happens if the company cancels on me?

A serious operator supplies an equivalent or better vehicle at no extra cost, or refunds in full. It should also be a phone call, not a discovery. Ask what their policy is — the answer tells you how they think.
